STORAGE AND SECURITY OF YOUR INFORMATION

We receive and store information you enter on our website or give us in any other way from time to time. CLIENT, RESIDENT & BUILDING DATA

In the course of providing our building management, resident coordination, cleaning, and caretaker assurance services, we may receive, process, or store data on behalf of our clients (Body Corporates and Committees). This may include:

1) Client Business Information: Building contracts, maintenance registers, asset calendars, contractor agreements, and Committee meeting records.

2) Resident and Building Data: Resident liaison records, building notices, incident reports, access and key control logs, and health and safety observations.

3) Caretaker Assurance Data: Duty-by-duty verification records, cleaning quality control records, evidence registers, photographic condition records, and exception reports.

We will only use this data for the specific purpose for which it was provided — namely, to deliver, manage, or report on the requested building and strata services. We will not use this data for any secondary purpose without the express consent of the client or as required by law.

DIRECT MARKETING

We may use personal information collected from you for the purpose of providing you with direct marketing material and information in the form of a newsletter. This will only apply if you have registered or subscribed to such publications by registering your details with us. However, if you wish to cease receiving any such information, you may let us know either by email or mail, and your request will be actioned as soon as possible.

We use Google and/or other third-party service providers to serve ads on our behalf across the Internet and sometimes on this website. CLIENT-CONTROLLED REPOSITORIES AND DATA SOVEREIGNTY

As outlined in our service delivery, Valen Forge establishes client-controlled repositories with restricted access for operational records. The Body Corporate retains ownership of its editable operational records. We restrict access, protect credentials, and keep records for seven years contractually, or longer where required. At exit, we will export records and transfer keys and administration within a reasonable timeframe.

SECURITY

Valen Forge strives to ensure the security, integrity, and privacy of personal information submitted to our website and of client and resident data processed as part of our services. We periodically update our security measures in light of current technologies and industry best practices, including confidentiality obligations on our staff and contractors, and secure data destruction or return upon completion of a project.
